1. Who we are
Balance Sheep ("we", "us", "our") is operated by Cygnova, a general partnership registered in Ontario, Canada (Business Identification Number 1001690173), with its principal place of business at 1366 Fribourg Street, Embrun, Ontario K0A 1W0, Canada. Balance Sheep is a bookkeeping automation service that syncs order, fee, and payout data from your Etsy shop into your QuickBooks Online company ("the Service").

2. Information we collect
2.1 Account information you give us
- Name, email address, and password (stored as a salted hash — we never store your password in readable form)
- Billing details are collected and stored by our payment processor (see Section 5); we do not see or store full card numbers
2.2 Etsy shop data (via your authorization)
When you connect your Etsy shop, you grant us access through Etsy's official API using OAuth. Depending on the features you use, we access:
- Shop details, listings, and order/receipt data (order numbers, items, amounts, taxes, dates)
- Buyer information attached to orders — such as buyer name and, where enabled, shipping location and email — solely to create the corresponding records in your QuickBooks company
- Payment account ledger entries (sales, fees, refunds, deposits) to reconcile payouts
We never see or store your Etsy password. You can revoke our access at any time from your Etsy account settings.
2.3 QuickBooks Online data (via your authorization)
When you connect QuickBooks Online, we access your company file through Intuit's official API using OAuth to create and update sales receipts, customers, items, accounts, and related records needed for the sync. We never see or store your Intuit password. You can revoke access at any time from your Intuit account.
2.4 Automatically collected
- Sync activity logs (what was synced, when, and any errors), used to run the Service and help you fix problems
- Standard technical data: IP address, browser type, and session cookies (see Section 8)
3. How we use your information
We use your information only to:
- Provide the Service: read your Etsy data and write the corresponding entries to your QuickBooks company
- Operate your account: authentication, password resets, and security
- Bill your subscription, including calculating your order-volume tier
- Support you: diagnose and fix sync errors you report
- Send service communications (sync failures, connection expiries, billing notices). Marketing email, if any, is opt-in and has an unsubscribe link.
We do not sell your data. We do not use your data — or your buyers' data — for advertising, profiling, or training. We do not use Etsy data for any purpose other than providing the Service to you, as required by the Etsy API Terms of Use.
4. Your buyers' personal information
Order data from Etsy includes personal information about your buyers. With respect to that data, you are the business owner responsible for it and we act only on your instructions as a service provider: we transfer it into your QuickBooks company and retain it no longer than needed for the sync and its audit trail. We do not contact your buyers, and we do not use their information for any independent purpose.
5. Service providers we share data with
We share data only with providers needed to run the Service:

Some providers store data in the United States. Where data leaves Canada, it remains subject to this policy and to contracts with those providers, but may be accessible to authorities under the laws of those jurisdictions.
We may also disclose information if required by law, or as part of a business transfer (in which case this policy continues to apply).
6. How long we keep data, and deletion
- While your account is active: we keep the data needed to run the sync and its audit trail. Etsy data is cached only as permitted by the Etsy API Terms of Use.
- When you cancel: we revoke our own access tokens to Etsy and Intuit and delete your synced data and connections within 30 days of cancellation. Data we already wrote into your QuickBooks company is yours and stays there.
- On request: email support@balancesheep.net to request deletion sooner, or a copy of the personal information we hold about you. We respond within 30 days as required by PIPEDA.
- Backups are purged on a rolling basis within 35 days.
- We may retain minimal records (e.g., invoices) as required for tax and legal compliance.
7. Security
- All traffic is encrypted in transit (TLS/HTTPS)
- Etsy and Intuit access tokens are stored encrypted at rest
- Passwords are stored as salted hashes; sign-in is limited to one active session per account
- Access to production systems is restricted to authorized personnel
No system is perfectly secure. If a breach creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by PIPEDA.
8. Cookies
We use only cookies necessary to operate the Service (session/sign-in). We do not use third-party advertising or tracking cookies.
9. Your rights
Under PIPEDA you may request access to, correction of, or deletion of your personal information, and withdraw consent (which may mean we can no longer provide the Service). Contact support@balancesheep.net. If you are unsatisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca).
If you are in the EU/UK, we honor equivalent rights under GDPR/UK GDPR, with Cygnova (operating as Balance Sheep) as controller for your account data and processor for your buyers' data.
10. Children
The Service is for business use and not directed at anyone under 18.
11. Changes to this policy
We will post changes here and update the date above. For material changes, we will notify you by email or in the app before they take effect.

The term "Etsy" is a trademark of Etsy, Inc. This application uses the Etsy API but is not endorsed or certified by Etsy, Inc. QuickBooks and Intuit are trademarks of Intuit Inc. Balance Sheep is not affiliated with, or endorsed by, Etsy, Inc. or Intuit Inc.
